What the League records

At a student's first check-in, the League records a full name, school, and chosen public handle. During Club Play it also records attendance and game statistics: correct, incorrect, and interrupted answers.

The League does not collect a student's email, phone, address, date of birth, grade, guardian contact, medical information, medication, dietary information, or transportation instructions. A school may collect its own permission and trip information under its own policy.

A school participation request records the requesting adult's name, school role, email, optional phone, club and school, estimated headcount, date interests, and message. LCAL uses that record only to verify the school club, arrange its approved coverage routes, and respond to the requester. It does not authorize attendance or create a student roster.

Who sees what

Signed-in League operators may see full names to run check-in, scoring, corrections, and school reports. Public results, standings, and recaps use only the student's chosen handle and school. The check-in screen explains that before the student chooses a handle.

Participation-request contact details are available only to signed-in League administrators handling school onboarding. They are never included in public school pages, results, recaps, or mailing lists.

Individual results do not publish until the paper scoresheet has been entered and reviewed. A fuller experimental player rating remains private throughout the pilot.

Retention and paper records

The League keeps the competition record. Handles, schools, attendance, and verified statistics are retained so a season can be looked up years later, and full names are retained alongside them. This is how scholastic competition results are normally kept, and a student who competed should be able to point at the record.

Full names are visible only to signed-in League operators. Public pages use the handle a student chose, and never a full name. A student or a parent may ask for a full name to be removed, and an administrator clears it from the record. Ask through the contact page.

If check-in is completed on paper, the event lead holds the sheet until it is entered and destroys it after entry. The sheet carries that handling instruction at the check-in table.

A participation request remains available while it is new, under review, or awaiting a response. When an administrator closes it, a 90-day review window begins; after that date, the request and its adult contact details are permanently deleted through the retention control. Reopening the request before deletion cancels that date.

Corrections and incidents

A student, family, or school may ask the coordinator to correct a handle, school association, attendance entry, or game statistic. The coordinator may confirm the request through the student's school before changing a competition record.

If a check-in sheet is lost or a student full name is disclosed to an unauthorized person, the League identifies the affected records, contains access, preserves what happened, and notifies every affected school the same day. The schools handle family communication under their own procedures.

Identifiable student photographs appear only after an authorized League administrator records the applicable school and family authorization, its date, and a reference to the source record. Uploading a file alone never publishes it. Published photographs include meaningful alt text and a factual caption, and are used only for League reporting, not advertising profiles.

A student, family, or school may withdraw photography authorization by contacting the coordinator. An administrator can unpublish the image immediately. LCAL closes the public database gate before deleting the stored image file, while retaining a minimal audit record of the action.
